About the Role
Salary range: $3,000 - $3,500We are a specialist digital marketing agency focused exclusively on childcare centers, nurseries, and early years education providers across the United States and the United Kingdom. We are looking for a Strategic Project Manager to own and optimize our entire project management system, ensuring every campaign, deliverable, and client initiative moves forward with precision, accountability, and speed.
This is not a generic PM role. You will be the operational backbone of the agency, building and maintaining the systems that keep a fast-moving, multi-client marketing team aligned across time zones, service lines, and shifting priorities. You will work at the intersection of strategy and execution, translating high-level client goals into structured workflows that the team can deliver against consistently.
What You Will Own
Project Management System Design and Maintenance
Build, manage, and continuously improve the agency’s project management infrastructure using tools such as ClickUp, Asana, Monday.com, or similar platforms. Define project templates, task structures, automations, and reporting dashboards that give leadership and the team real-time visibility into workload, deadlines, and delivery status across all active client accounts.
Campaign and Deliverable Tracking
Manage the end-to-end workflow for all client deliverables including paid advertising campaigns, website builds and updates, content creation, email marketing, SEO work, social media, and lead generation initiatives. Ensure nothing falls through the cracks across a portfolio of 30 to 80+ active childcare clients.
Cross-Functional Coordination
Serve as the central hub between account managers, media buyers, designers, copywriters, web developers, and leadership. Run internal standups, manage capacity planning, flag bottlenecks before they become problems, and ensure handoffs between team members are clean and documented.
Process Development and SOPs
Document and standardize agency processes including client onboarding workflows, campaign launch checklists, QA procedures, revision cycles, and approval gates. Create SOPs that allow the team to scale without sacrificing quality or consistency.
Client Onboarding Project Management
Own the project management side of new client onboarding, ensuring all intake information, asset collection, platform access, and initial campaign setup tasks are tracked and completed on schedule. Coordinate with account managers to ensure a smooth transition from sales to active management.
Reporting and Operational Insights
Provide leadership with regular operational reports covering project status, team utilization, delivery timelines, and risk areas. Use data to identify patterns such as recurring delays, scope creep, or resource gaps, and recommend process improvements.
Time Zone and Multi-Market Management
Manage workflows that accommodate clients and team members across US and UK time zones. Ensure deadlines, meeting schedules, and communication cadences work effectively for a distributed operation.
What We Are Looking For
3+ years of project management experience in a digital marketing agency or similar fast-paced, multi-client environment. Deep proficiency with project management platforms such as ClickUp, Asana, Monday.com, or Basecamp, including the ability to build custom workflows, automations, and dashboards from scratch. Strong understanding of digital marketing deliverables including paid media, SEO, content, email, web development, and social media so you can accurately scope and schedule work. Proven ability to manage 30+ concurrent projects or client accounts without losing detail or momentum. Excellent written and verbal communication skills with the confidence to hold teams accountable and push back on unrealistic timelines. Experience working across time zones, ideally US and UK. Strong documentation habits and a genuine belief that good systems make great work possible.
Nice to Have
PMP, PRINCE2, or similar certification. Experience in the childcare, education, or local services industry. Familiarity with marketing tools such as Google Ads, Meta Ads Manager, HubSpot, ActiveCampaign, or similar platforms. Experience building or managing SOPs and training documentation. Comfort with light technical work including API integrations, Zapier or Make automations, or basic reporting scripting.
