ROLE:

The mission for the Executive Assistant (EA) is to make sure that the CEO is spending 80% or more of his time on his most valuable activities. The EA will be responsible for checking email, handling scheduling and tracking various random tasks on a daily basis.

You are the main point of contact for anyone to reach or collaborate with the CEO and are responsible for keeping the CEO organized, informed, and prepared for anything that comes his way.

You are required to perform advanced administrative duties with exposure to sensitive information necessitating tact, diplomacy, discretion, and judgment. The Executive Assistant possesses excellent project management and organization skills and is willing to help wherever needed.

This position is a critical member of the team, making sure the executive team has the opportunity to focus on the highest impact work while navigation through their meetings and priorities with ease.

The outcomes expected of this individual are:

Ensure the CEO's email is less than 10 emails before leaving. You will be the right arm to the CEO making sure that client, vendor and employee emails and vendor emails are responded to in an orderly fashion (as our CEO likes to neglect email).
Ensures the CEO spends 832+ hours per year on focused activities. As an entrepreneur that is a tad ADD, you need to keep him focused on activities that drive the best results for the company. That means tackling all the “small” things that come across his desk and managing him on an as-needed basis to stay focused on key priorities. A constant question you will need to ask is “what can I take off your plate?”
Ensure >95% google documents are in the right folders and well organized. We have thousands of documents across our clients and internally. You will be the keeper of the folders and document organization at all times.

Time Management Master. Not only will you be managing your own time and schedule but the schedule and time of the CEO.

Preferred Skills and Experiences:

Must have a PASSION for organization especially virtually.
Must be EXTREMELY detail-oriented, able to multitask and meet deadlines
Must be resourceful and able to overcome obstacles on his/her own.
Superior communication skills, including written and verbal.
Flexibility to change and adapt to new processes, with a problem-solving mindset.
Clairvoyance. As you start to learn the ropes of your role, it is expected that certain tasks and activities just happen as you will be able to anticipate upcoming requests and act accordingly.
Experience in working in digital marketing is preferred but not required.

Compensation:
Compensation for this role will be dependent on experience
Compensation will be provided on a bi-weekly basis
